For anyone invited to an interview through ROVIEN: what happens to your information, and what you can ask for.

Who is responsible

The company interviewing you uses ROVIEN and generally decides how your information is used in its hiring process. ROVIEN, provided by Innochase, processes it on that company's behalf. For most requests, contact that company first.

When AI is involved

  • ROVIEN Auto: an AI interviewer asks the questions and listens to your answers. No person is in the interview.
  • ROVIEN Assist: a person interviews you, with AI tools helping them.
  • In both, AI evaluates what you said and produces scores and a summary for the hiring team. Only your answers count as evidence, and questions you don't answer score zero.

These results support the hiring team's decision. People at the company make that decision.

What is collected

  • Your details and resume: as provided by you or the company.
  • Your answers: a transcript of what you say, and the resulting scores.
  • Video and audio: carried live during Assist interviews. Your camera and microphone are also used in Auto interviews.
  • Recordings: a live interview is recorded only if the session's policy allows it, after consent is requested. Your decision is logged.
  • Identity photo: you may be asked to capture a photo before a live interview. It is stored with the interview so the company can confirm who attended.
  • Integrity signals: the system checks that a face is in view, and may log events such as switching tabs. If the company turned on eye tracking, your gaze direction is estimated in your browser, and you are warned if you keep looking away. Repeated warnings can end the interview for human review.

Accommodations

If any part of this makes it hard for you to interview fairly, tell the company before your interview. For example, eye tracking can be turned off, and the company can consider another way to interview you.

Who receives your information

The hiring team at the company interviewing you, according to their role. Service providers that make the interview work: OpenAI (AI questions and evaluation), Agora (live video and audio) and your browser's speech recognition provider (transcription). See Security.

How long it is kept

Recordings have a retention date, 365 days by default, and the company can configure it. A legal hold can extend this. After a recording is purged, a record that it existed and when it was destroyed is kept.

Your choices

  • You can decline recording when asked. Declining may affect whether the interview can go ahead, so ask the company about alternatives.
  • You can ask for your recording to be deleted. Contact the company that interviewed you, or support@rovien.ai. An administrator reviews each request, and a legal hold can prevent deletion.
  • You can ask the company for access to or correction of your information. Other rights may apply depending on where you live, including laws on AI video interviews and biometric information.
